10 Tips To Get Your Business Phone Pumping

If the telephone is your business' primary point of contact with customers then you must read on. Phone answering skills are critical for your business. The way you answer your company's phone will form your customer's first impression of your business. The 12 phone answering tips will ensure that callers know they're dealing with the right business:

1) EVERYONE SHOULD KNOW THIS ONE: Create a phone script. Why? I could go on about this for some time but I'll spare you and move on to the next tips.

2) Try to answer all incoming phone calls before the third ring. Before you pick up the phone SMILE. This gets you in the right mind frame to be dealing with customers. It's warm and inviting. You'll be surprized at how much your tone says about your businesses.

3) When answering the phone, greet callers courteously and identify yourself and your business. For instance, "Good afternoon. [Business Name]. This is Tessa. How may I help you?" Enunciate clearly, keep your voice volume moderate, and speak slowly and clearly when answering the phone, so your caller can understand you easily. If callers ask 'is this [Business Name]? then you are not clear. Practice until it comes out perfectly every time.

4) Control your language when answering the phone. Don't use slang or jargon. Instead of saying, "Yeah", "OK" or "No worries", for instance, say "Yes", "Certainly" or "You're welcome". Also, do not use "uh huh", "um", or phrases such as "like" or "yeah", train yourself carefully not to use these when you speak on the phone.

5) Take telephone messages completely and accurately. If there's something you don't understand or can't spell, such as a person's surname, ask the caller to repeat it or spell it for you. Don't forget to get that message to the intended recipient asap.

6) Respond to all your calls / messages within one business day. As a customer there is nothing worse than wanting to buy from a business that doesn't follow up with answers asap.

7) If you need to put the caller on hold then make sure you ask them if it is okay first. Provide time estimates if you can so they can make a decision on whether they will hold or leave a message. If you can, try to get back to them every 30 seconds with alternatives like, "Tess' line is still busy. Would you still like to hold or would you like to leave a message. I'll make sure she gets it as soon as she finished the call."

8) Don't use a speaker phone. It's usually unclear and allows YOU to get distracted with other things. The only time you should use a speaker phone is if you are in a conference call.

9) If you use an answering machine to answer calls when you can't, make sure that you have a professional message recorded, Check Tip # 3 for reference. Update your answering machine message as needed. For instance, if your business is going to be closed during holidays, update your recorded answering machine message to say so and to say when your business will reopen. Alternatively you really should consider a phone answering service for special occations. That way they still speak with a REAL person who can take a message down for you and you can deal with it at a more appropriate time.
